Established for over 5 decades, our new client is a market leading manufacturer and supplier of bespoke, high-end products to both the domestic and export markets. With multiple sites in both N.I. and the R.O.I. they are renowned for their exceptional customer service, quality products and have worked on a number of high-profile projects across the U.K. and Ireland.
Our client now wishes to recruit an experienced Office Manager for their location in Swords. They are seeking a dynamic, driven individual to join their team of highly respected and experienced industry professionals.
The Role:
The successful applicant will be responsible for ensuring the smooth running of our office and overseeing stock control in Swords. Responsible for a team of two sales people
Major Responsibilities and Functions include:
- Oversee all administrative duties in the office and ensure that office is operating smoothly.
- Greet visitors, schedule appointments and answer direct phone calls.
- Outbound calls to customers and suppliers to follow up and provide updates on orders, back orders, deliveries, etc.
- Responsible for overseeing cash and card transactions and reporting any discrepancies.
- Responsible for daily cash lodgement preparation and lodging to the bank.
- Oversee incoming stock delivery and despatches, keep updated inventory records (including daily shipments).
- Forecast supply and demand to prevent overstocking and running out-of-stock.
- Coordinate regular stock audits and circulate report to relevant team members in a timely manner.
- Manage office supplies inventory and place orders as necessary.
- Receive and sort incoming mail and deliveries, and manage outgoing mail.
- Develop office policies and procedures, and ensure they are implemented appropriately.
- Maintain professional liaison with customers, management and other departments in a pleasant and professional manner to ensure efficient running of the business.
- Interface with other internal departments (e.g., Logistics, Production, Estimating and Finance) as required to fulfil duties effectively.
- Ensure office is kept clean and tidy at all times.
What we are looking for:
Qualifications & Skills
- Qualification in business administration, communications, or a related field.
- Minimum of 3 - 5 years of work experience in an administrative/office management role.
- Excellent communication and interpersonal skills.
- Must have exceptional attention to detail.
- Strong organisational and time management skills, and ability to prioritise.
- Must be a self-starter and driven.
- Strong problem-solving skills and analytical abilities.
- Must be proficient with business systems including Office suite / Google Docs. CRM and Sage 200 are advantageous.

Full Time Hours
Hours of Work: Monday – Friday 8.00am – 5.00pm
