Procurement Manager

We are currently seeking an experienced Procurement Manager to join a small hotel group in their prestigious 4-star luxury hotel in Galway. This is a hands-on role based at this Galway based Hotel, with group-wide coordination responsibilities across five Hotel Group properties.
The Role
The person appointed will play a critical role in hotel operations, overseeing all non-food purchasing, stock management, supplier relationships and cost control. Working closely with hotel management and finance teams, this position directly impacts guest experience, operational efficiency, profitability and audit compliance.
Key Responsibilities
Weekly Ordering & Supplier Management
* Manage the full weekly ordering cycle across approximately 20 suppliers using ProcureWizard and manual invoice systems
* Maintain and optimise ProcureWizard favourites lists for efficient reordering
* Coordinate deliveries and resolve discrepancies, shortages or quality issues
* Act as the primary group contact for day-to-day supplier engagement
Stock & Inventory Control
* Conduct weekly stock counts across beverages, cleaning supplies, guest amenities and consumables
* Manage levels and reorder points in line with occupancy, seasonal demand and events
* Monitor stock usage to minimise wastage and overstocking
* Carry out periodic full inventory audits and reconciliations
Cost Control & Budget Management
* Monitor procurement spend against weekly and monthly budgets
* Negotiate pricing, terms and contracts to deliver best value
* Track and report cost-per-room and cost-per-cover metrics
* Identify opportunities for group-wide purchasing consolidation
Invoice Processing & Financial Administration
* Process portal, paper and EDI invoices accurately and promptly
* Match invoices to purchase orders and delivery notes
* Maintain organised procurement documentation and audit trails
* Work closely with the Financial Controller on monthly reporting
Group Procurement Oversight
* Coordinate procurement standards across all Hotel Group properties
* Support property managers with procurement queries and supplier issues
Compliance & Audit
* Ensure full compliance with financial controls and procurement policies
* Support internal and external audits as required
Candidate Requirements
* Minimum 2 years' experience in purchasing, procurement or stores management, ideally within hospitality or a multi-site operation
* Strong working knowledge of procurement systems (ProcureWizard experience is a strong advantage)
* Proven supplier negotiation and relationship management skills
* Excellent attention to detail and organisational ability
* Strong Excel skills and general IT literacy
* Understanding of procurement audit requirements and invoice processing
* Full driving licence with flexibility to travel occasionally
What's on offer?
40-hour working week (Monday to Friday, 8:30am - 5:00pm)
Competitive salary DOE: €40,000 - €55,000
